Minutes of Arts & Crafts Advisory Board Meeting Monday, May 30, 2017
1. President: Monita Bowman – Call to order at 3:10 pm.
2. Secretary: Claudia Welch – There were no corrections/additions to April, 2017 minutes.
Approval motion made by Barbara Gottesman; seconded by Diane Finley. Motion passed
unanimously.
3. Treasurer: Linda Planting – The beginning bank balance on April 20, 2017 was $4228.02.
Total expenses was $1765.77. Total income was $1287.00. Ending checkbook balance on May 20, 2017 was $3789.61. Approval motion made by Diane Finley; seconded by Claudia Welch. Motion carried unanimously.
4. First Vice President, Membership: Michael Sunzeri reported there is one new member, Adela Renninger, an additional membership is pending. Current membership total is 236.
5. Second Vice President, Boutique Director: Mary Wollesen – Boutique financial report:
Total sales was $1987.00. Amount paid to members was $1768.43 . Donations amounted to $2.25. Expenses were $555.00. Taxes due/paid were $173.88. Net amount equals $(508.06). End of month checkbook balance is $2611.40. Motion to approve report as distributed by Michael Sunzeri, seconded by Barbara Gottesman. The next Boutique Board meeting will be held on Thursday, August 3, 2017, 12:00 Noon, at Mary’s house. The next Boutique General meeting will be on Tuesday, August 8, 2017, 2:00 pm, at the Vineyard Center.
6. Old Business
6.1. Open Positions: Exhibits Coordinator, Holiday Faire Chair. Barbara agreed to be co- chairman of Holiday Faire and Monita agreed to manage contracts, Pam Thompson will manage decorations.

7.2. 2018 Master Calendar – You need to be thinking about your room requirements for the upcoming year, as submission request forms will be available in August.

8.11.1. Historical Art Display Proposed – Annette Mach has suggested that members of our group display art work depicting historical events, people, or places related to the Villages at the 50th Anniversary celebration on August 5th. If given permission by the Villages staff, is there interest in pursuing this? There was not enough interest to pursue this activity.
8.11.2. Logo Contest Proposed – A logo for the entire Arts & Crafts Association has been suggested. To garner interest and member participation, it is proposed that a club- wide contest be initiated. Entries to be due by August 15, and will be submitted to a committee consisting of three Board members, Michael Sunzeri, Barbara Gottesman, and Claudia Welch. Three finalists will be selected and finalist will be decided by Advisory Board. The winning entry will be announced at the September general meeting with an article and photo in the newspaper. Approval motion made by Barbara Gottesman; seconded by Diane Finley. Motion carried unanimously.
8.11.3. One Person Show – It has been suggested that a special show of one artist’s work be presented each year, honoring and appreciating the featured artist’s unique
perspective and body of work. We are planning on having a retrospective of Jim Paradis' work, with date to be determined pending room availability. Approval motion made by
Barbara Gottesman; seconded by Monita Bowman. Motion carried unanimously.

4.First Vice President, Membership: Michael Sunzeri reported we have 235 members, 4 of them new. There was discussion regarding some new members assessed the old dues of $5.00 for their first year of membership due to the use of old forms stating membership was $5.00. Going forward, membership dues will be $10 annually for all members. Additional discussion around engaging new members for committees. Those marked with a “V” are interested in volunteering.
5.Second Vice President, Boutique Director: Mary Wollesen – Boutique financial report: Total sales was $2995.50. Donations amounted to $10.50. Total income was $3036.00. Amount paid to members was $2666.00. Taxes due were $244.28.Total expenses were $2766.54. Monthly profit/loss was $25.18. End of month checkbook balance is $2708.90. Cash on hand after taxes: $1,380.33. Approval motion made by Diane Finley; seconded by Barbara Gottesman. Motion carried unanimously. The next Boutique Board meeting will be held on Thursday, May 4, 2017, 12:00 Noon, in the Patio Room. 7.New Business
7.1 Art Room Key Policy:
No one except appointed Monitors shall hold a key to the Art Room or Ceramics Room with these exceptions: a) the President and the Class Scheduler shall hold keys to both rooms, b) The Ceramics Room Chair and the Ceramics Room manager shall in addition hold keys to the Ceramics Room. Any Monitor lending or giving her/his key to any other person will cease to be a Monitor and shall turn in the key to the President. Except for appointed Monitors, all persons currently holding keys shall turn the said key(s) in to President Monita Bowman or Ceramics Room Manager Barbara Gottesman or to Mary Tatum by Wednesday, May 3 at 3 pm.
The key policy for both the ceramics room and the art room was discussed by the Board and reviewed. This policy was reaffirmed by the Board and is in place. Anyone who currently has possession of a key and is not a monitor in one of these rooms must turn in the key immediately. Only those people who are monitors, the President, or the Class Scheduler may have a key.

1. President: Monita Bowman – Call to order at 3:10 pm.

minutes. There were none. Motion to approve made by Barbara Gottesman, seconded by
Mary Wollesen. Motion carried unanimously.
3. Treasurer: Linda Planting – The beginning bank statement balance on February 20, 2017
was $5,472,97. Total income was $85.00. Total expenses was $851.19. Ending checkbook balance on March 20, 2017 was $4525.23. Ending bank statement balance on March 20, 2017 was $4676.42. Approval motion made by Claudia Welch, seconded by Barbara Gottesman. Motion carried unanimously.
4. First Vice President, Membership: Michael Sunzeri – We have one new member: Helen Hu. Our total membership is 231 as of March 4, 2017. Four additional people were identified as no long in the Villages or did not renew their membership. An updated membership list was provided to the Board on March 23, 2017. The new membership fee of $10.00 per year is now in effect.
5. Second Vice President, Boutique Director: Mary Wollesen – Boutique financial report: Total sales was $2092.00. Amount paid to members was $1861.89. Donations amounted to $7.75. Expenses were $22.84. Taxes due were $171.36. Net amount equals $43.66. End of month checkbook balance is $2502.33. The next Boutique Board meeting will be held on Thursday, April 6, 2017, 12:00 Noon, in the Patio Room. The next Boutique General meeting will be held on Tuesday, April 11, 2017, 2:00 pm, in the Vineyard Center. Approval motion made by Barbara Gottesman, seconded by Linda Planting. 6. Old Business:
6.1 Clarification: Questions continue in the Boutique on religious items relating to cards. The following has been suggested: No religious symbols on the outside of cards. Content verbiage is allowed as long as it is not overtly offensive. Approval motion made by Mary Wollesen, seconded by Barbara Gottesman. Motion carried unanimously.

7.2. Suggestion Box: Empty
7.3. New Resident Orientation: Monita Bowman and Barbara Gottesman attended the New
Resident Orientation meeting on March 15, 2017. They had membership forms, flyers of upcoming events, and Boutique business cards for handouts. Barbara brought a painting and stand for visual impact. There was some interest, and the Villages staff was appreciative of our attendance. We need to ensure that our group has someone at each of these meetings to represent us in the future.
7.4. New Event – Open Studio Tour: Mishel Vanderten suggested that we reinstitute the Open Studio Tour event, which was discontinued in 2011. She brought it up at the last Boutique General meeting, and it was met with interest. We had a preliminary meeting to discuss this on March 20, 2017 with Barbara Gottesman, Diane Finley, Monita Bowman, and Mishel Vanderten. A tentative date of August 19, 2017, from 10:00 am to 3:00 pm was set. As Event Coordinator, Diane Finley has a budget proposal to present. A copy of notes from this meeting are attached. The Board needs to vote on whether or not to approve this event/budget. Discussion: Villages artists open their home studios. Map to artists' homes would be provided. Hours 10am-1pm. Low budget. Tour should be moved out to Aug. 26th due to 12 members being involved in jurying for Art Show. During previous tour, 72 people visited Barbara Gottesman's home. Proposed budget - $300. Approval motion made by Barbara Gottesman, seconded by Diane Finley. Motion carries unanimously.
7.5. National League of American Pen Women: A potential vendor, Dorothy Atkins, contacted me to invite our members who qualify to apply for membership in her non- profit organization. It is for professional women in letters, visual arts, and music. She was told the information would be passed along.

8.1. Art Film: Adine Paradis – The next Art Film will be on Tuesday, April 11, 2017, 7:00
pm, at the Vineyard Center. The topic of the scheduled film is the Lehman Collection at The Met, the last in this art film series. The next series is individual artists. Barbara is substituting for Art Historian Adine Paradis.
8.2. Bingo: Betty Stednitz – Clubhouse Bingo with dinner, is held 5 times each year. Afternoon Bingo is held 7 times each year. Next Bingo is on Wednesday,February 1st, at 3:30 – 5:00 in the auditorium. All board members invited to attend. Fingerprinting of Monita Bowman, Betty Stednitz, Michael Sunzeri, Linda Planting, and Claudia Welch, has been completed.
8.3. Ceramics: Jim Paradis – Ceramics Room Manager Barbara Gottesman will report on Ceramics Room expenses incurred for 3 months, along with a proposal to charge Ceramics Room users $25.00 per year for a “cubby” each to store clay and tools. Discussion tabled for now on yearly fee, Ceramics studio users will be notified by email that nothing but clay is to be stored there; other materials to be brought in on a daily basis.

8.5.9 New Class Ideas Update: Dilettantes & Dabbles Class/Sampler Series – Committee consisting of Barbara Gottesman, Claudia Welch, and Monita Bowman met to discuss feasibility of classes. Due to the current number of ongoing and upcoming classes, it was decided to push this back until August, giving us time to line up teachers and plan and schedule full classes immediately following the samplers. One person will be identified to act as manager for each sampler, preferably someone who is also taking the class. Copy of report attached.
8.6. Excursions Coordinator: Karen Honaker – Status of trips currently being planned – No updates. Monita Bowman added that Rochelle Ford is to have open studio first 2 weeks in May.
8.7. Exhibits Coordinator: Position Open – The next Exhibit is March 31 - August 4. Contracts are due to Marilyn Murata for the Post Office and Jerry Gililland for the Conference Room by March 24, 2017, and can be downloaded and printed on line. August 4, 2017 is the Annual Members Juried Show. Clubhouse Lobby paintings are up until May 8, 2017.

vendors signed up, 2 contracts in the mail, and 6 people scheduled to be juried. This totals 35 vendors, but I haven’t heard from a number of people that normally have a table yet. We may have to ask some people to share or bring their own table to accommodate everyone.

8.13 Charitable Giving: Monita Bowman talked to Mary Tatum about the possibility of a food drive or other food-centric charitable giving, and was informed that a number of residents within the Villages rely on Meals On Wheels, serviced through the Senior Nutrition Program of Santa Clara County. They also serve meals to seniors five days a week at the Evergreen Community Center. What do you think about adding this as a second program for donations?

8.14 Issues/Problems to Address: Personnel issues requiring action should be moved to the Executive Action Council (comprised of Advisory Board officers.) Names of individuals should not be used and/or published due to privacy concerns. Agreement on process to handle through Executive Action Council.
